Documents required for children travelling alone

Mandatory Child Responsibility Declaration

If you have booked our Unaccompanied Minor service, you must fill in the Child Responsibility Declaration (valid for the outward and return journey) and present it at the airport so that we can check it against the official ID documents of the adult and child.

When to fill it in

  • Before going to airport (recommended): Download the Child Responsibility Declaration and bring the printed document, already completed and signed. This is more convenient and saves time.

Students returning from abroad, especially from London or Boston, must present the Responsibility Declaration already signed and stamped by their school to avoid being denied boarding.

  • At the airport: You can request it on arrival. In this case, we recommend that you arrive at the airport well in advance so you have enough time to complete this procedure. Remember, it must be signed by a parent or legal guardian.

Required information
You will need to state the name of the person responsible for the child at both the origin and destination:

  • Child's personal details: Name, age, flight number, language...

  • Departure airport: Name, address and mobile phone number of the person handing over the child

  • Arrival airport: Name, address and mobile phone number of the person who will pick them up

  • Signature of the parent or legal guardian: This is essential to prove their authorisation.

IMPORTANT: The people in charge at both airports must be ones stated on the form and they must show official photo ID.

Official travel documents

  • Flights within Spain

    • 14 and over: ID card or passport (expired documents may be accepted).

    • Under 14: If the child doesn't have an ID card or passport, the authorities may request one of the following documents:

      • Notarial attestation with the child's personal details and photograph.

      • Permit issued at any police station to the father, mother or legal guardian who will be in charge of the child during the journey, which will be checked against the person's ID card or passport.

  • International flights from Spain (to European and non-European countries)

All children must have their own document, ID card or passport and must also meet the requirements of the destination country.

The Spanish authorities will require all Spanish children travelling alone or accompanied by third parties who are not their parents or guardians to show a travel permit issued by the police, civil guard, notary's office or town hall, requested in person by the parents or legal guardians.

In the case of foreign children living in Spain, their legal representatives must go to the consulate to fill in the necessary documents according to their national legislation.

Flights to Mexico: Children travelling alone or with a third party need notarised authorisation from both parents. If the document is foreign, it must be legalised and translated into Spanish. In Spain, you can use the official police form.

  • International flights to Spain (from European and non-European countries)

All children must have their own document, ID card or passport and must also meet the requirements of the origin and destination country. Check in the country of origin and at the consulate or embassy of Spain all the required travel documents for the child.

Flights from Italy: Children under 14 years of age must always travel with an adult or book the Unaccompanied Minor service. If they are Italian and travelling alone, they need their passport and an affidavit from their parents stamped by the police (Questura) and stating the name of the airline.

Flights from Mexico: Children travelling alone or with a third party need notarised authorisation from both parents. If the document is foreign, it must be legalised and translated into Spanish.

Presentation at the airport

Remember, Online check-in is available for children travelling alone but, for security purposes, you must collect the boarding card at the airport.

Please report to our check-in desks 2 and a half hours in advance to:

  • Verify documentation: We'll give the child a document bag containing their ticket, passport and Responsibility Declaration. They must wear this in a visible place at all times.

  • Accompaniment to the boarding area: If the child is under 14 years old, you can go with them to the boarding gate. Ask at the desk for your companion card (you'll need your valid ID card or passport). Check whether this option is available at airports in other countries.

Take-off

We'll accompany the child to the plane and then our crew will take care of them.
Important: As the companion, it's essential that you remain at the airport and keep your phone on until we confirm that the aircraft has taken off.

On board

We want your child's journey to be comfortable, safe and, above all, a lot of fun! Here's how we take care of them during the flight:

  • Priority boarding and VIP assistance: Children are the first on board. During the journey, they will sit near our crew so there is someone on hand for whatever they need.

  • Tailor-made fun: On long flights, they'll have access to our entertainment system with films, drawings and music. But don't worry, we'll activate parental control.

  • Menus for little ones: If they are under 12, we'll serve them a children's meal on intercontinental flights. Just remember to order it when you make the booking or up to 24 hours before departure.

One last tip: It 's important to explain to them that they should stay in their seat until our staff comes to pick them up after landing. Safety comes first!

Arrival at destination or transit between flights

The journey doesn't end when we land. We'll stay with the child until we hand them over to the authorised person. This is how we organise the arrival:

  • Disembarkation and safe handover: The child will be last to leave the aircraft so that our staff can give them their full attention. We'll accompany them personally to the authorised person for the handover, and that person will have to show photo ID and sign the custody form.

  • We'll take care of their luggage: If you checked in any luggage, we'll collect it from the belt.

  • Stopovers in Madrid: If the child has a connecting flight in Madrid, we'll pick them up and take them to the Children's Room. They'll be entertained and supervised in this room until it's time to board for their next destination.

  • Always informed: If there is any delay or change in the flight, we'll get in touch immediately with the contacts you provided in the responsibility document. The child will have priority assistance and will be taken care of at all times.

Tips for a smooth journey

To keep everything under control and ensure a comfortable journey, we recommend following these steps:

  • Prepare the journey ahead of time: Book the service at least 48 hours in advance. This will give you time to prepare the Child Responsibility Declaration and expedite the procedures at the airport.

  • Identification always visible: At the check-in desk we'll give the child a document bag. It's essential that they wear this bag in a visible place because it contains their boarding card and the necessary documents for their safety and custody.

  • Double safety: Place an extra copy in their backpack with the contact telephone numbers at both origin and destination. This will enable us to get in touch with you immediately if we need to inform you of anything.

  • Comfortable, practical clothing: Choose garments without belts, laces or complicated zips. This will make it much easier to pass through the security controls and use the toilets.

  • Organise their luggage:

    • Check in as much as possible: We'll label their bag as priority so it's one of the first delivered to the belt.

    • Hands free: If they are taking a carry-on backpack, make it small and light. Pack their favourite toys but avoid items that are prohibited on board.

    • Careful with wheels: Check in scooters and rollers shoes. Remember that hoverboards and mini segways are not allowed on the aircraft.

  • Use of medications: If the child needs medication on board, include the details in the Responsibility Declaration, under "Additional Information". It's essential that they know how to self-administer their medication and recognise when they need it (this includes prescription and non-prescription drugs). If they can't do this alone, they must be accompanied by someone over 16 years of age who can do it for them.

  • In case of illness during the journey: If the child feels ill during the flight and plans have to be changed, the contact person on the booking will be responsible for handling these changes. Please make sure that the information in the Responsibility Declaration is correct so that we can get in touch with you immediately.

  • Premium lounges: Remember, children travelling alone do not have access to these lounges. Our staff will assist them in the designated areas or Children's Room.

What to do if...

I've forgotten the Responsibility Declaration

Request it and fill it in at the airport. Remember, it must be signed by a parent or legal guardian. This procedure takes time so we recommend that you arrive at least 2 and a half hours before the departure of the flight.

They have a connecting flight in Madrid

For flights operated and sold by the Iberia Group, we take care of everything. The child will wait for their connecting flight in our Children's Room and we'll notify you of any unforeseen event.

The child is travelling in a different cabin

If they are aged 5 to 11 and travelling on the same plane but in a different class than their companion, the Unaccompanied Minor service is mandatory.
